Geo Underwriting Services Limited (part of the Ardonagh Group of companies) is the Data Controller of the information you provide us and is registered with the Information Commissioner’s Office for the products and services we provide to you.

How we use the information you provide us

We will process the data (for example name, contact details, item insured, claims history) to provide the products and/or services that you request, to communicate with you, and for marketing or market research purposes.

We store all the information you provide us, including information provided via forms you complete on our website, and information which we may collect from your browsing.

Any new information you provide us may be used to update an existing record we hold for you. If you provide a work email we will not be responsible for third parties having access to any communications we send.

To help us prevent fraud and money laundering, your details may be submitted to fraud prevention agencies and other organisations where your records may be searched. We may also conduct a search with a credit reference bureau to assist us in providing a quote, and to check which payments options we can make available to you. We ask for your home/office, mobile phone number, and email address to enable us to contact you in relation to an enquiry you have made, to contact you about relevant products or services, to contact you or if there is a problem with your quote/product.

We may make outbound phone calls for a number of reasons relating to many of our products (example: to update you on the progress of a claim). We are fully committed to the regulations set out by Ofcom and follow strict processes to ensure we comply with them.

Generally by providing the requested data you consent to the Geo Underwriting using that data for administrative purposes and for occasionally informing you of other products and services by letter, SMS, phone and/or email. We may also use the information we collect to occasionally notify you about important functionality changes to the website.

Our own security procedures mean that we may occasionally have to request proof of identity or check your presence on the electoral roll.

In the event of phone calls from you, we also reserve the right to ask security questions (which we in our sole discretion deem appropriate) in order to satisfy ourselves that you are who you say you are.

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. We may also use ‘cookies’ to monitor how people use our website.

Where we store your Personal Data and our suppliers.

As required by the Data Protection Act 2018, we follow strict security procedures in the storage and disclosure of information you have given to us.

It may also be processed by staff operating outside of the EEA, whom work for us or for one of our suppliers. Third parties may deliver some of our products to you, or provide all or part of the service requested by you. In these instances, while the information you provide will be disclosed to them, it will only be used for the administration of the service provided (including for example verification of any quote given to you and claims processing), underwriting and pricing purposes as appropriate, testing, and to maintain management information for business analysis.

If we provide information to a third party we will require it and any of its agents and/or suppliers to:

  • Maintain the security and confidentiality of the information and restrict access to those of its own employees.
  • Use the data for the agreed purpose only and prevent it being used for any other purpose by any other party.
  • Refrain from communicating with you other than concerning the product in question.
  • Return the data to us at the conclusion of any contract term, and destroy or delete any copies made of all or any part of the information unless copies are needed to be kept complying with regulations.

Your consent

Before you provide any data to us we will endeavour to make it clear why we need it. Sometimes we may need sensitive personal data (e.g. motoring convictions). When this is required we will obtain your consent first. Otherwise, by providing us with the information, either orally or in writing, or by using our website, you consent to the collection, use and processing of the information we obtain from or about you because of our dealings with you (including any data we obtain from third parties) by the Geo Underwriting to provide and send you information about our products and/or services.

A customer may give consent for their spouse/partner/another nominee to act on their behalf. Consent can be given over the phone, via email or in writing. If the request is made via email or in writing we will contact the customer to validate the request.

Subsequent to your purchase of a product or service, we may enter into an arrangement for that product or service to be provided by a new third party. If this happens, the terms and conditions of your contract with us will provide that you consent to the transfer and processing of personal and/or sensitive personal data to the new provider, subject to the requirement of the Data Protection Act 2018 and associated regulations.

Disclosure of information to third parties

In the event that we sell or buy any business or assets, we may disclose your personal data to the prospective seller or buyer of such business or assets. If Geo Underwriting (or any of its subsidiary companies) or substantially all of its assets are acquired by a third party, personal data held by it about its customers will be one of the transferred assets.

We may of course be obliged by law to pass on your information to the police or any other law enforcement body, or statutory or regulatory authority.

Your Rights

You have the right to request a copy of the information we hold about you. Please write to the address above if you wish to request a copy of your data, stating the nature of your request. Please give us as much detail as possible about your business with us (e.g. policy numbers, claims numbers, and relevant dates and times.

We may use automated decision making in regard to your personal data for some services and products. You can request a manual review of the accuracy of an automated decision that you are unhappy with by writing to us at the above address.
